Espresso & Exhaust Vendor Terms & Event Rules

By submitting a vendor application and completing payment, you agree to the following terms and conditions for participation in Espresso & Exhaust.

1. Vendor Space & Pricing

  • Vendor participation is $300 per event date.

  • Each vendor receives one 10x10 space located on the front apron of the building, plus room to park one vehicle beside their tent/setup.

2. Space Availability

  • Vendor spaces are limited and assigned on a first come, first served basis.

  • A submitted form does not guarantee a spot until payment is received in full.

3. Payment Policy

  • All vendor spaces must be paid in advance to reserve your location.

  • A separate registration form and full payment are required for each individual event date you wish to attend.

4. Load-In & Load-Out

  • Load-in begins at 8:00 AM

  • Load-out begins at 12:00 PM

Vendors must arrive and depart within these scheduled times unless otherwise approved by event staff.

5. Refunds, Cancellations & Rescheduling

  • All vendor fees are non-refundable.

  • No cancellations or refunds will be issued once payment is submitted.

  • Vendor spaces may be rescheduled with at least 48 hours notice, reviewed on a case-by-case basis and subject to availability.

6. Weather & Event Cancellation

Espresso & Exhaust is a rain or shine event.

In the event of severe weather, safety concerns, or unforeseen circumstances requiring event cancellation, vendors may be offered a rescheduled date or alternative arrangement at the discretion of event organizers.

7. No-Show Policy

Vendors who fail to arrive or set up for their scheduled event date will be considered a no-show and will forfeit all payment.

8. Vendor Responsibilities & Equipment

Vendors are responsible for providing all necessary materials, including but not limited to:

  • Tent or canopy

  • Tables and chairs

  • Display materials

  • Weights or anchors for tent safety

Electricity, Wi-Fi, and additional equipment are not guaranteed unless approved in advance.

9. Tent & Setup Safety Requirements

For the safety of all attendees, vendors must ensure that tents and displays are properly secured.

  • Tents must be weighted or anchored appropriately.

  • Vendors are responsible for any damage caused by unsecured equipment.

10. Space Boundaries & Event Flow

  • Vendors must remain within their assigned 10x10 footprint.

  • Booth setups may not block walkways, entrances, or neighboring vendors.

  • Only one vehicle is permitted per vendor space unless otherwise approved.

11. Vendor Conduct & Prohibited Items

Espresso & Exhaust is a family-friendly community event.

The sale or display of the following is prohibited:

  • Illegal goods or substances

  • Weapons or dangerous materials

  • Explicit or inappropriate content

  • Any items deemed unsuitable by event organizers

Event staff reserve the right to remove any vendor who fails to comply with event standards, without refund.


12. Cleanup Expectations

Vendors are responsible for maintaining a clean area throughout the event.

  • All trash, materials, and displays must be removed at load-out

  • Vendor spaces must be left in the same condition as found


13. Liability Disclaimer

Vendors participate at their own risk.

Espresso & Exhaust, its organizer Vehicle Vault, staff, and venue partners are not responsible for:

  • Theft or loss of vendor property

  • Damage to vehicles or equipment

  • Personal injury occurring during the event

Vendors are encouraged to carry their own insurance coverage.

14. Photography & Promotional Use

By participating, vendors grant Vehicle Vault permission to photograph or video vendor booths, vehicles, and event activity for promotional and marketing purposes.

15. Food & Beverage Vendors

Vendors selling food or beverages must comply with all applicable local health regulations and permits. All licensing and compliance are the responsibility of the vendor.
